Role Overview

The Challenge

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks.


Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities

Soft and other skills:

  • Proven experience as an administrative assistant;

  • Qualification as an Administrative assistant or Secretary (not mandatory);

  • Proficiency in MS Office (namely: MS Excel, MS Word and MS PowerPoint);

  • Working knowledge of office equipment, like printers or others;

  • Excellent time management skills and the ability to prioritize work;

  • Attention to detail and problem-solving skills;

  • Excellent written and verbal communication skills;

  • Flexibility in terms of working schedule;

  • Strong organizational skills with the ability to multi-task;

  • Solid team spirit and sense of responsibility.

Required Languages:

Fluent in Portuguese and English.

We are looking for bright talent with a minimum of:

  • Minimum of 3 years of professional experience.

Technical Skills:

  • Answer and direct phone calls;

  • Organize and schedule appointments;

  • Plan and support meetings/business lunch´s or other Company Events, in-house or off-site;

  • Undertake activities ensuring general office conditions (room arrangements, etc.);

  • Write and distribute email, letters and forms;

  • Assist in the preparation of regularly scheduled reports/tasks;

  • Develop and maintain a filing system;

  • Order office supplies and research new deals and suppliers;

  • Maintain updated contact lists and CV´s;

  • Book travel arrangements;

  • Submit and reconcile expense reports;

  • Provide general support to visitors;

  • Act as the point of contact for internal and external clients;

  • Liaise with executive and the administrative team to handle requests and queries from managers or employees;

  • Ensure bid and proposal documentation (docs in word, powerpoint, etc.) is formatted, collated and presented in a professional manner. Ensure grammatical accuracy;

  • Assist with production of final bid documents and arrangements to supply these documents to the customer within defined tender deadlines.
